The type of personal information we collect

We currently collect and process the following information in the course of providing health services to you which we have grouped together as follows:

  • Identity data includes first name, last name, nationality, marital status, title, date of birth, gender, National Insurance and CHI number.

  • Contact data includes home address, email address and telephone numbers.

  • Financial data includes bank account and payment card details and/or Private Health Insurance information.

  • Social data includes information about your family lifestyle and social circumstances.

  • Marketing and Communications Data includes your preferences in receiving marketing from us and your communication preferences.

  • Special Categories of Personal Data includes information about racial or ethnic origin, health, sexual orientation or sex life, political, philosophical or religious belief, and genetic data.

  • Data protection law treats some types of personal data as special. We will only obtain and use the Special Categories of Personal Data where we need to and where data protection law allow us to do so.

Most of the personal information we process is provided to us directly by you for one of the following reasons:

We may share this information with The Circle Group, NHS QMC as well as your Private Healthcare provider (if applicable).

How we store your personal information

Your information is securely stored. We have put in place appropriate security measures to prevent your personal data from being accidently lost, used, or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those personnel at hospitals where your procedure may be undertaken. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and the Informational Commissioner’s Office of a breach where we are legally required to.

We keep your personal information (as identified above) for as long as is necessary to fulfil the purposes of satisfying any healthcare, legal, accounting or reporting requirements. Generally speaking, we will keep client files (and any personal data) for a minimum period of three years following the completion of the healthcare issue for which you have sought treatment. This is to enable us to verify your identity where you may ask a question, make a complaint or claim. We will then dispose your information by shredding any hard copy documents and place in a secure bin for disposal.

We will retain any personal data obtained via our website for no longer than three years at which point it will be deleted. We have a process for deleting digital records securely.

Your data protection rights

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
